Cancellation & Refund Policy
Tunisia Aromatic & Botanical Study Tour
This Cancellation and Refund Policy (“Policy”) forms an integral part of the Participant Agreement between the undersigned participant (“Participant”) and Ebers Consulting LLC / Tour Organizer (“Organizer”).
By registering for the Tunisia Aromatic & Botanical Study Tour (“Tour”), the Participant acknowledges that they have read, understood, and agreed to the terms outlined herein.
1. Payment & Refund Policy

$200 deposit is non-refundable and required at registration to secure your space.

Payment schedule:

First installment due March 28, 2026

Final installment due June 29, 2026 (90 days before departure)

Cancellations must be submitted in writing by email.

Administrative/processing fees of $135 are non-refundable in all cases.

Refunds (excluding the $200 deposit and $135 admin fee):
-
90+ days before departure: Refund issued minus deposit + administrative fee
-
60–89 days: 50% refund issued minus deposit + administrative fee
-
30–59 days: 25% refund issued minus deposit + administrative fee
-
Less than 30 days: No refunds

Failure to meet payment deadlines may result in cancellation without refund of the deposit.
2. Non-Refundable Fees and Expenses​
The following items are non-refundable under all circumstances, including but not limited to illness, personal emergencies, flight delays, visa issues, or force majeure events:

Registration and deposit fees

Administrative fees
-
Airfare and independently booked travel
-
Travel insurance premiums
-
Visa fees
-
Any costs already paid or committed to third-party suppliers, including accommodations, transportation providers, guides, farms, workshops, and local partners
3. Tour Cancellation or Modification by Organizer
The Organizer reserves the right to cancel, postpone, or modify the Tour itinerary due to circumstances beyond reasonable control, including but not limited to insufficient enrollment, safety concerns, political instability, natural disasters, public health emergencies, or force majeure events.
In the event of cancellation by the Organizer:

The Participant shall receive a refund of Tour payments made less any non-recoverable third-party costs already incurred.

The Organizer shall bear no responsibility for airfare, visa fees, travel insurance, or other personal expenses.
The Organizer reserves the right to make reasonable itinerary modifications as necessary to maintain safety, logistical feasibility, and educational integrity.
4. Force Majeure
The Organizer shall not be liable for delays, modifications, or cancellations caused by events beyond its reasonable control, including but not limited to acts of God, war, civil unrest, government actions, epidemics, pandemics, labor disputes, or transportation failures.
No refunds beyond recoverable costs shall be required in such circumstances.
5. Transfer of Registration
At the sole discretion of the Organizer, a Participant may transfer their registration to another eligible individual up to 30 days prior to departure, subject to:

Written notice and approval by the Organizer

Payment of any applicable administrative or transfer fees
-
Compliance with all Tour eligibility requirements
6. Travel Insurance Recommendation
The Participant acknowledges that travel insurance is strongly recommended and that failure to purchase adequate coverage is at the Participant’s own risk. Travel insurance should include coverage for trip cancellation, interruption, medical emergencies, and force majeure events.
7. Governing Law and Jurisdiction
This Policy shall be governed by and construed in accordance with the laws of the State of New Jersey, United States of America, without regard to conflict of law principles.
8. Acknowledgment and Acceptance
By submitting registration and payment, the Participant confirms acceptance of this Cancellation & Refund Policy and agrees to be bound by its terms.
9- Minimum Participation Requirement
Most retreats require a minimum of twelve (12) confirmed participants to proceed. In the event that the minimum participation requirement is not met sixty (60) days prior to the scheduled start date, the retreat may be canceled at the sole discretion of the Organizer. In such case, all payments made by the participant, including any deposit, shall be refunded in full. No additional compensation or reimbursement shall be provided.
10- Modification of Terms & Conditions
The Organizer may modify these Terms & Conditions at any time in its sole discretion. Such modifications shall be binding upon all participants regardless of whether notice was received or acknowledged.
11- Waiver of Liability & Assumption of Risk
The Participant acknowledges that participation in programs, events, educational activities, travel experiences, workshops, site visits, and related services organized by Ebers Consulting LLC, Ebers School of Aromatherapy, and their owners, directors, officers, employees, contractors, affiliates, and partners (collectively, “Ebers”) involves inherent risks, including but not limited to personal injury, illness, emotional distress, property damage, or loss. The Participant voluntarily assumes all such risks, whether known or unknown, foreseeable or unforeseeable, arising from or related to participation in any Ebers program.
To the fullest extent permitted by law, the Participant hereby waives, releases, and discharges Ebers from any and all claims, demands, actions, causes of action, liabilities, damages, or losses of any kind, whether arising from negligence or otherwise, in connection with participation in Ebers services, activities, or events.
This waiver shall remain in effect before, during, and after participation.
12- Educational Content Disclaimer
All content provided by Ebers, including but not limited to aromatherapy education, herbal information, wellness guidance, demonstrations, written materials, and verbal instruction, is intended for educational purposes only and is not a substitute for medical, psychological, or professional advice, diagnosis, or treatment. The Participant agrees that Ebers shall not be held liable for any decisions, actions, or outcomes resulting from the use or application of such information.
13- Photo, Video & Content Consent (Media Release)
The Participant hereby grants Ebers the irrevocable, worldwide, royalty-free right and permission to photograph, video record, audio record, or otherwise capture the Participant’s image, likeness, voice, and/or participation during programs, events, or activities.
The Participant authorizes Ebers to use such recordings and materials for educational, promotional, marketing, archival, and commercial purposes, including but not limited to websites, social media, presentations, printed materials, and digital publications, without compensation.
The Participant waives any right to inspect or approve the final materials and releases Ebers from any claims arising from the use of such content.
14- No Obligation to Participate in Media
Participation in photography or recording is voluntary. If the Participant does not wish to appear in media content, it is the Participant’s responsibility to notify Ebers in writing prior to the start of the program.
15- Binding Effect
This Waiver of Liability and Media Release shall be binding upon the Participant and their heirs, executors, administrators, and assigns, and shall survive the conclusion of the program.
16- Acknowledgment
By registering and submitting payment, the participant:

Accepts this Cancellation & Refund Policy in full

Understands that travel programs require advance commitments
-
Waives any claim against the Organizer outside the terms stated herein
